Privacy policy

1. Who we are
Headland is operated by Yahara Software ("we", "us"). Contact us at support@headlandcropmanagement.com.
2. Data we collect
2.1 Account data
When you create an account, we store your email address, display name, and a hashed password.
2.2 Farm data
Anything you record in the app: field boundaries, crop seasons, chemical and fertilizer applications, scouting notes, pest sightings, weed observations, harvest events, photos, voice memos, lab tests, equipment, expenses, contracts, and so on. This is your operational record.
2.3 Location data
With your permission, the app uses your device GPS to (a) tag captures with the field you're standing in, (b) record breadcrumbs during a live GPS operation session, and (c) auto-populate weather snapshots on application records. You can revoke location permission at any time in your device settings.
2.4 Usage telemetry
The app records anonymized usage events: which screens you visit, which forms you complete, which features you use. We use this to find and fix friction points. Telemetry does not include the contents of your records or any personally identifying information beyond your user id. You can disable telemetry entirely in Settings → Privacy.
2.5 Device metadata
OS version, app version, device model. We use this to debug crashes and to size feature rollouts.
3. Data we do not collect
- We do not access your phone contacts.
- We do not access your photo library beyond images you explicitly attach to a capture.
- We do not run any third-party ad SDKs.
- We do not use cross-site tracking cookies on the marketing site.
4. Who we share data with
We share data only with service providers that operate the app on our behalf. Each receives the minimum data needed to perform its function:
- Microsoft Azure — hosts our database, API, and photo storage.
- Google Play Billing — processes subscription payments. We receive a purchase token; Google handles your payment details.
- Google Cloud Pub/Sub — delivers Play subscription lifecycle events to our backend.
- Expo Push — delivers scheduled-event reminders to your device.
- Resend — sends transactional email (invitations, password reset, scheduled-event reminders if you opt in).
- National Weather Service / OpenWeatherMap — supplies forecast data when you've configured a weather source.
- Azure Document Intelligence — extracts structured data from receipt and lab-report scans (Business tier only).
We never sell your data, share it with input suppliers, share it for marketing purposes, or use it to train generative AI models. We will respond to legitimate law-enforcement requests as required by law, and we'll notify you if legally permitted.
5. Retention
Your farm data is retained for as long as you maintain an account. Records older than 30 days are filtered from the active view on Free-tier accounts but are not deleted — upgrading restores visibility immediately. Account deletion is described in Section 7.
Telemetry events are retained for 12 months and then deleted.
6. Security
Data in transit is encrypted with TLS 1.2 or higher. Data at rest in our database is encrypted by the Postgres flexible server's automatic encryption. Photos are stored in private blob containers behind short-lived signed URLs.
We do not store payment-card details — Google Play handles all payment processing.
7. Your rights
- Access: export all your data as CSV / PDF anytime (Pro / Business tiers).
- Correction: edit any record you've authored within the in-app rules.
- Deletion: request full account deletion by emailing support@headlandcropmanagement.com. We anonymize the actor field on records you authored (so the audit log remains coherent) but otherwise remove your account within 30 days.
- Telemetry opt-out: Settings → Privacy → "Help us improve" toggle.
8. Children
Headland is a B2B product not directed at children. We do not knowingly collect data from anyone under 13.
9. International
The service is operated in the United States. If you use it from outside the US, you consent to your data being processed in the US.
10. Changes
We may update this policy. Material changes are announced in the app and via email to your registered address. Continued use of the service after a change constitutes acceptance.
